Answers to the most frequently asked questions about Monarch OS, grouped by topic.

General

What is Monarch OS?

Monarch OS turns your business into an organization assisted by a team of AI employees available around the clock: Adam (Communication), Sophia (Sales), Noah (Operations), and Julia (Coordination).

Who is Monarch OS for?

Any business that wants to delegate part of its customer communication, sales follow-up, or organization to AI employees, while keeping control over what matters to it.

Does Monarch OS work in every industry?

Your AI employees rely on your business's real information (knowledge base, pricing, policies) that you provide — so they adapt to your business rather than to a predefined industry.

Do I need to install any software?

No. Monarch OS runs entirely in your browser, no installation needed.

How many AI employees are included?

Every Plus, Pro and Elite plan includes Julia, Adam, Sophia, Noah, Clara and Ethan. Plans mainly differ by credit volume and included users.

Which AI employees are available?

Adam (Communication), Sophia (Sales), Noah (Operations), and Julia (Coordination).

Does Monarch OS replace my staff?

No. The goal isn't to blindly replace humans, but to automate what you decide to automate, while keeping human validation for what you want to control.

Can I use Monarch OS if I'm a small business?

Yes. Self-service signup and the free trial are designed to get started alone, with no mandatory onboarding call.

Can Monarch OS work for a larger business?

MOS Elite is designed for higher activity volumes. See the Pricing page for plan details.

How long does it take to get started?

Signup and payment take a few minutes; a guided flow then helps you configure your business and your employees.

AI employees

What does Adam do?

Adam handles customer communications and requests based on your knowledge base and rules — he answers, clarifies, or hands off to a human when it really matters.

What does Sophia do?

Sophia tracks your leads, qualifies opportunities on facts, and prepares your follow-ups.

What does Noah do?

Noah turns a plain-language written request into a task assigned to the right person, at the right time.

What does Julia do?

Julia oversees the activity of the other AI employees, summarizes what's happening in your business, and helps you understand what deserves your attention.

Do the AI employees work together?

Yes. For example, Adam hands off a detected sales opportunity to Sophia, and Sophia hands off a ready deal to Noah to organize the work.

Does Julia oversee the other AI employees?

Yes, that's her role: she keeps an overview of their activity, never acting in their place.

Do the AI employees understand my business?

They rely on a knowledge base specific to your business, which you feed directly or which they propose to enrich themselves from what they observe.

How do I give them my procedures, pricing, and information?

Through each employee's knowledge base in the dashboard, or by talking directly with Julia.

Do the AI employees remember important information?

Yes, what they learn is saved to your business's knowledge base, never forgotten between conversations.

Can I edit my business's information later?

Yes, at any time, from each employee's dashboard.

Autonomy and control

Can Monarch OS act automatically?

Yes, for the simplest actions, and for more committing actions if you choose that setting.

Can I require approval before certain actions?

Yes. You can require a proposal to wait for your approval before it's sent, action by action.

Can I fully forbid certain actions?

You can require an action to always wait for your approval before it's carried out. A full block preventing even the proposal doesn't exist yet today.

Can I change the autonomy level later?

Yes, at any time from the dashboard, with no commitment.

What happens when an action needs my approval?

It appears in your validation queue: you see the exact text, and can approve it, edit it, or reject it.

Can I see what the AI employees have done?

Yes, every action is logged in a reviewable activity feed — who did what, and when.

What happens when an AI employee isn't sure of the right decision?

It hands the situation off to a human rather than guessing — a customer never goes unanswered by accident.

Can the AI make mistakes?

Yes, like any system. That's why the validation queue and history exist: so you keep control over what matters, and every correction helps the employee improve.

Should I review some of the AI's actions?

We recommend regularly checking the activity feed, especially at first, to adjust autonomy settings with confidence.

Who is responsible for the permissions given to AI employees?

Your business remains responsible for the settings it configures for its AI employees.

Communication and connectors

Can Monarch OS reply to my customers?

Yes, that's Adam's role, within the autonomy limits you set.

Can it send emails?

Yes, once Gmail is connected.

Can it use Gmail?

Yes, receiving and sending real replies is available today.

Can it use WhatsApp Business?

WhatsApp Business is in preparation and will roll out progressively — not yet available today.

Can I connect my existing tools?

Gmail, Google Calendar, and Google Contacts can be connected today. WhatsApp Business is coming in a future step.

Do I need to give Monarch OS my Gmail password?

No. The connection is made through Google's official authorization system — your password never passes through Monarch OS.

What happens if a connector disconnects or expires?

Monarch OS detects it and clearly shows it on your connectors page, never pretending it still works. You can reconnect it in one click.

Can I remove a connector?

Yes, at any time from the dashboard, with no justification needed.

Do my different AI employees use the same business account?

Yes, a connector is a resource of your business, shared between the employees who use it — never the exclusive property of just one.

How does Monarch OS decide which employee should handle a situation?

Based on the channel and context: a new customer request reaches Adam, a detected sales opportunity is handed to Sophia, a task to organize goes to Noah.

Sales

Can Sophia track my leads?

Yes, that's her main role.

Can she qualify a lead?

Yes, based on observed facts — never a made-up score.

Can she prepare a follow-up?

Yes.

Can she send a follow-up?

Yes, once the necessary connector is connected.

Can I require approval before sending?

Yes, as with any action at this risk level, you choose whether Sophia sends on her own or submits her proposal to you first.

Does Sophia keep a lead's history?

Yes, every lead tracked keeps its history and its stage in the pipeline.

Operations

Can Noah create tasks?

Yes, that's his main role.

Can he organize work coming from a sale or a customer request?

Yes, he turns a request or a deal handed off by Adam or Sophia into a task assigned to the right person.

Can I track the tasks created?

Yes, from the dashboard, with their priority and due date.

Can Noah act automatically?

Yes, creating and assigning tasks are low-risk actions, executed automatically.

Julia / Leadership

What is Julia for?

Julia summarizes what's happening in your business and helps you spot what deserves your attention, without you having to track everything yourself.

Can Julia see what Adam, Sophia, and Noah are doing?

Yes, she has an overview of their activity to build her summaries.

Can Julia flag important things for me?

Yes, that's one of her main roles — spotting what matters among your AI employees' activity.

Can I chat directly with Julia?

Yes, you can talk with her directly from the dashboard.

Does Julia keep the context of our conversations?

Yes, what you tell her enriches your business's knowledge base.

Can Julia make decisions on my behalf?

No. Julia summarizes and recommends, but never decides unilaterally on your behalf. Any real action follows the same autonomy and validation rules as the other employees — Julia has no authority to bypass them.

Data and security

Is my data shared with other businesses?

No. Each client business's data is technically isolated from every other business's data.

Does Monarch OS use one business's data to answer another?

No. The context given to the AI to respond on behalf of a given business contains only that business's information.

How is business data isolated?

Through security policies enforced at the database level itself, not only in application code. See the Security page.

Who can access my data?

Your business's authorized users. See the Privacy Policy for full access details.

Does Monarch OS store my bank details?

No, payments are processed directly by Stripe.

How are connectors protected?

Access tokens are encrypted at rest and only decrypted by the server-side components that genuinely need them. See the Security page.

Can I delete my data?

Yes, in accordance with the Privacy Policy — see that page for the procedure.

Can I export my data?

You have a right to data portability for your personal data — see the Privacy Policy.

Where can I read the Privacy Policy?

On the Privacy Policy page, accessible from the footer of every page.

Does Monarch OS comply with GDPR?

The processing described in our Privacy Policy relies on the applicable legal framework, including GDPR where it applies — see that page for full detail.

Subscription and credits

How much does Monarch OS cost?

See the Pricing page for current amounts — prices evolve with the product, this FAQ doesn't lock in a figure.

What subscriptions are available?

Three tiers: MOS Plus, MOS Pro, MOS Elite.

What's the difference between MOS Plus, MOS Pro, and MOS Elite?

Every plan includes the full AI team. Plus, Pro and Elite differ by credit volume and included users.

What is a Monarch Credit?

An internal unit that measures the real work done by your AI employees — you never see a token or a model, only a monthly allowance.

Why do AI employees use credits?

Because the real cost varies with usage — credits allow a predictable monthly price while still reflecting real usage.

What happens when my credits run out?

Never an abrupt cutoff: a small safety buffer takes over to avoid a service interruption.

Are credits renewed every month?

Yes, your allowance resets at every renewal of your subscription period.

Can I change my subscription?

Yes, at any time from the Billing page in the dashboard.

Can I upgrade immediately?

Yes, an upgrade takes effect immediately.

What happens when I downgrade?

The change takes effect at the end of your current period, never immediately — you keep what you've already paid for until then.

Can I cancel at any time?

Yes, self-service from the dashboard, with no justification needed.

What happens after cancellation?

Your data is retained for a reasonable period, then deleted, unless a longer retention is legally required — see the Privacy Policy.

What payment methods are accepted?

Card payment, via Stripe.

Who processes payments?

Stripe. Monarch OS never receives or stores your full bank details.

Free trial

Does Monarch OS offer a free trial?

Yes, a self-service free trial.

How long does the trial last?

14 days.

Is a card required?

Yes, at signup, but no charge occurs before the trial ends.

When will I be charged?

Only at the end of the 14-day trial, if you haven't cancelled before then.

Can I cancel during the trial?

Yes, at any time from the dashboard, with no charge if you cancel before the 14 days end.

What happens at the end of the trial?

Your subscription becomes active and billing begins, unless you cancelled beforehand.
